Terms & Conditions

The terms governing bookings and travel services arranged by Inland Africa Ltd, trading as Inland Africa Safaris.

1. About these Terms

These Terms govern bookings and travel services arranged by Inland Africa Ltd, trading as Inland Africa Safaris, referred to as “Inland Africa,” “we,” “us” or “our.”

These Terms apply to bespoke journeys, safari packages, accommodation, transport, guiding, permits, activities and related travel services booked through Inland Africa. Nothing in these Terms excludes or limits a right or remedy that cannot lawfully be excluded under applicable Rwandan law.

2. Definitions

  • Booking means travel arrangements confirmed by Inland Africa in writing.
  • Booking confirmation means our written acceptance, normally accompanied by a confirmation invoice.
  • Client, traveler, you or your means every person named in a booking.
  • Contract means the booking confirmation, final itinerary, invoice, these Terms and any expressly incorporated written conditions.
  • Force majeure event means an extraordinary event beyond the reasonable control of the affected party.
  • Group leader means the person making or administering a booking for two or more travelers.
  • Supplier means an independent provider of a journey component.

3. Information before booking

Website descriptions, sample itineraries, photographs, guide materials and Rafiki responses are general planning information. They do not confirm availability, price, permits, accommodation, wildlife sightings or a particular itinerary.

Before entering a contract, we will provide or identify the principal services, dates, itinerary, price, payment schedule, material inclusions and exclusions, known permit or age restrictions, cancellation terms and material supplier conditions. Live availability and operational conditions must be confirmed by an authorized Inland Africa representative.

4. Booking requests and formation of the contract

Submitting a form, Trip Planner response, email enquiry, Rafiki conversation or payment does not by itself guarantee a booking. A contract is formed only when Inland Africa accepts the booking in writing, issues a confirmation or confirmation invoice, and receives the required payment in cleared funds.

If arrangements cannot be confirmed, we may propose an alternative, place the request on hold with your agreement, or decline it and return amounts received for services we could not secure, subject to disclosed third-party charges already incurred with authorization.

You must review traveler names, dates, itinerary and invoice promptly. The booking confirmation and final itinerary take priority over earlier proposals, sample itineraries and general website content.

5. Authority of the group leader

The group leader confirms that they are at least 18, are authorized to make the booking, will share these Terms and material information with every traveler, will communicate changes, and are responsible for payments unless otherwise agreed in writing.

Where information is supplied about another traveler, the group leader must be authorized to provide it. Each adult traveler remains responsible for obligations applicable to them.

6. Prices and quotations

Unless stated otherwise, quotations are in the currency shown, based on the specified services and assumptions, subject to availability, valid only for the stated period and unconfirmed until a contract is formed.

Before confirmation, a quotation may change because of availability, exchange rates, taxes, government charges, park or permit fees, fuel, transport, suppliers or correction of an obvious error.

After confirmation, we will not change the price arbitrarily. We may pass on a documented new or increased government charge, park or permit fee, material transport or fuel surcharge, expressly permitted currency adjustment, or client-requested change. We will explain the reason and calculation and provide any choice required by applicable law.

An obvious calculation or typographical error does not bind either party. You may accept the corrected price or cancel the affected unperformed service for a refund.

7. Deposits and payment

The deposit and payment schedule appear in the quotation or invoice. Unless confirmed otherwise, a deposit secures the booking, the balance is due six weeks before departure, and a booking made within six weeks may require immediate full payment.

Permits, flights, accommodation and peak-season arrangements may require earlier or full non-refundable payment. Payment is complete only when cleared funds are received.

If payment is overdue, we may after reasonable notice suspend work, release services, treat the booking as cancelled and apply the cancellation provisions. Clients are responsible for bank, card, currency-conversion and intermediary charges unless the invoice says otherwise.

8. Payment security and fraud prevention

Payments must be made only through a method or account confirmed in an official Inland Africa invoice or communication. Verify changed instructions using our published telephone number. Do not send card information by ordinary email or Rafiki, and contact us immediately if an instruction appears suspicious.

We may carry out reasonable identity, sanctions, fraud-prevention and payment-verification checks before confirming or delivering services.

9. Card payments, deferred settlement and chargebacks

Where we accept a credit card, debit card, payment link or another card-based method before, during or after services, the cardholder and booking client authorize Inland Africa and its approved payment provider to charge the agreed amount.

Authorization and responsibility

The person approving payment confirms that they are the authorized cardholder or have lawful permission; the payment relates to a genuine booking, invoice or service; the billing information is accurate; and they will not knowingly make a false, misleading or abusive dispute. A third-party payer and the booking client must ensure the payment is authorized.

Payment after services

Any deferred or post-service arrangement must be confirmed in writing. Payment is due on the invoice date. We may require a valid payment method, signed authorization, deposit, guarantee or pre-authorization before services begin. Allowing deferred payment once does not require us to offer credit in future.

Genuine disputes

Before initiating a chargeback, the client should contact services@inlandafrica.com promptly with reasonable details. We will investigate unauthorized transactions, duplicate billing, incorrect amounts, services not supplied as contracted and other legitimate errors. Nothing here removes rights under applicable law or card-network rules.

Improper or abusive chargebacks

A chargeback does not by itself cancel the underlying debt or establish entitlement to a refund. If a chargeback is initiated after contracted services were properly delivered, or is knowingly false, misleading or inconsistent with booking records, we may contest it, provide relevant evidence, suspend outstanding services, require secure alternative payment, recover the unpaid contractual amount and recover reasonable processing, collection and legal costs to the extent permitted by law.

Evidence may include accepted quotations and Terms, invoices, payment authorizations, booking communications, itinerary and supplier records, permits, check-in or participation records, proof of service completion and other lawfully obtained operational records. Personal data disclosed will be limited to what is reasonably necessary to establish, exercise or defend contractual and legal rights.

Amounts remaining due and refunds

If a provider reverses payment for services already supplied, the invoiced amount remains due unless we agree a refund, the dispute is finally determined valid, applicable law provides otherwise, or a competent authority determines it is not payable. Any undisputed balance must be paid within seven days after written notice unless otherwise agreed.

An approved card refund will normally return to the original payment method. We will not require withdrawal of a legitimate dispute as a condition of a refund otherwise legally due. Suspected fraud or deliberate abuse may be reported to payment providers, card issuers, insurers, law enforcement or another competent authority where lawful.

10. Inclusions and exclusions

The confirmation and final itinerary identify included services. Unless expressly included, the price excludes international flights, visas and passports, insurance, vaccinations and medical services, optional excursions, personal expenses, gratuities, excess baggage, communications, unspecified meals and drinks, disruption accommodation, later government charges and unlisted services.

11. Permits, park fees and restricted services

Primate and other park permits are limited, subject to authority rules and availability, and often personal, non-refundable and non-transferable. A request is unconfirmed until the responsible authority confirms it. Refunds are limited to amounts the authority or supplier returns to Inland Africa.

A permit does not guarantee a sighting, animal group, trekking duration, route or weather. Park authorities retain control over access, allocation and safety.

12. Client-requested changes and transfers

Changes must be requested in writing by the group leader. We will try to assist but cannot guarantee availability. The client must pay disclosed administration, supplier, permit, ticket, currency and additional-service costs. No change is effective until confirmed in writing.

We may permit transfer to a suitable person if requested sufficiently early, suppliers and authorities allow it, the replacement meets all requirements, and resulting costs are paid. Permit and airline rules may prevent transfer.

13. Cancellation by the client

Cancellation must be made in writing by the group leader and takes effect when received. Charges reflect administrative work, commitments, services purchased and losses reasonably expected from cancellation.

Non-refundable permits, tickets and supplier charges remain payable. Recoverable supplier refunds will be passed on after reasonable, disclosed non-recoverable costs. Where applicable law requires adjustment because actual recoverable loss is lower, we will adjust. Failure to arrive, late arrival or voluntary departure normally carries a 100% charge. Comprehensive cancellation insurance is strongly recommended.

14. Cancellation or significant change by Inland Africa

We may make minor changes that do not materially alter a journey. For a significant pre-departure change, we will notify you and, depending on the circumstances, offer acceptance, a comparable alternative with price adjustment, an agreed postponement or credit, or cancellation and refund for services not provided.

We may cancel for overdue payment, missing required information, inability to deliver lawfully or safely, unmet participation requirements, force majeure or another contractual right. If our material breach causes cancellation, legal remedies remain available. We are not responsible for independently booked incidental costs unless liability cannot lawfully be excluded or we expressly assumed them.

15. Force majeure and itinerary flexibility

Force majeure may include severe weather, natural disaster, epidemic, war, unrest, border or park closure, government action, strike, fire, flooding, transport or communications disruption, or another event beyond reasonable control. We may change, postpone, suspend or cancel affected services, take reasonable steps to reduce loss, and account for refunds or credits actually recovered.

Travel may require changes to routes, timings, accommodation, guides, vehicles or activities because of weather, roads, wildlife, park instructions, permits, transport, safety, supplier availability or local conditions. Where reasonably possible, we will provide a comparable alternative.

16. Independent suppliers, accommodation and transport

We may use independent accommodation, guiding, transport, airline, park and activity providers and exercise reasonable care in selection and coordination. Supplier terms may apply. Nothing here removes a responsibility Inland Africa has under law for services it contracts to provide.

Accommodation standards and features are guaranteed only when expressly confirmed. If accommodation becomes unavailable, we may provide a reasonably comparable alternative. Special requests are not contractual unless confirmed.

Vehicles, aircraft, boats and travel times may change for operational or safety reasons. Travelers must use seat belts where provided and follow lawful safety instructions.

17. Passports, visas and entry requirements

Each traveler is responsible for passports, visas, entry authorizations, permits, health documentation and minor-travel consents. Rules change and differ by nationality, so general guidance must be verified with the appropriate official authority or carrier.

We are not responsible for denied boarding or entry caused by non-compliance, except where directly caused by negligent, incorrect written information from us on which the traveler reasonably relied.

18. Health, fitness, special requirements and insurance

Travelers must assess their fitness and disclose before confirmation any condition, disability, mobility requirement, allergy, dietary need or circumstance materially affecting safe participation or arrangements. We may request medical confirmation and may decline or modify a booking where a need cannot reasonably or safely be accommodated.

Comprehensive travel insurance is a condition of booking unless we expressly agree otherwise. It should cover cancellation, medical care, evacuation, repatriation, relevant activities, baggage and disruption. We may request evidence, but reviewing it does not guarantee suitability.

19. Safety and acceptance of risk

Safari and adventure travel involves risks including wildlife, uneven terrain, altitude, weather, road or water transport, limited medical facilities, insects, disease, isolation and disruption. By booking, you acknowledge ordinary and reasonably disclosed risks.

This acknowledgment does not exclude liability for negligence, fraud, willful misconduct or another liability that cannot lawfully be excluded. Travelers must follow reasonable instructions from guides, authorities, suppliers and emergency personnel.

20. Conduct, wildlife and minors

Travelers must comply with law, respect communities, wildlife and the environment, follow safety rules, avoid threatening or disruptive conduct and treat people respectfully. We may restrict or terminate participation where conduct creates a serious safety, legal or operational risk. The traveler remains responsible for loss or damage they cause, subject to law.

Wildlife is free-ranging. We do not guarantee sightings, proximity, a particular primate group, photographic conditions, weather or encounter duration.

A traveler under 18 must be accompanied by or travel under arrangements approved by an authorized adult. Age restrictions may apply, and the responsible adult must obtain required documents and consents.

21. Unused services, baggage and personal property

No refund is normally due for a service a traveler chooses not to use, misses through lateness, cannot use due to inadequate documentation, abandons or independently replaces. If non-use results from our breach or a recoverable supplier failure, we will assess the appropriate remedy.

Travelers remain responsible for passports, money, devices, baggage and valuables. We are not responsible for loss or damage unless caused by our negligence or another lawful basis. Supplier claim deadlines may apply.

22. Complaints and assistance

Report a problem promptly to the guide, supplier or Inland Africa representative so it can be addressed. If unresolved, write to services@inlandafrica.com as soon as reasonably possible, preferably within 14 days after the journey, with the booking reference, facts, reporting history, evidence and requested remedy.

Delay does not remove a statutory right, but may affect our ability to investigate or obtain evidence.

23. Liability

Inland Africa is responsible for performing contractual obligations with the care required by law. To the extent permitted, we are not liable for loss arising from a traveler’s act, an unforeseeable unavoidable act of an unrelated third party, force majeure, inaccurate traveler information, independently booked arrangements, normal disclosed activity risks or failure to follow lawful safety instructions.

We do not exclude or limit liability for death or personal injury caused by negligence where it cannot lawfully be excluded, fraud, willful misconduct, mandatory consumer rights or any other non-excludable liability. Other limitations must remain reasonable, proportionate and consistent with law and relevant transport conventions. The same loss cannot be recovered twice.

24. Photography, testimonials and marketing

Booking does not automatically grant unrestricted permission to use a traveler’s name, image, voice, testimonial or story. We will obtain separate consent or rely on another lawful basis before publication. Consent may be withdrawn for future use, subject to lawful limits and material already legitimately produced or published.

25. Website, Rafiki and digital services

Website and Rafiki content does not replace a confirmed itinerary, official quotation, government or park advice, immigration or health advice, or professional advice. Rafiki must not be relied on for live availability, final prices, permits, safety decisions or entry requirements. One of our travel specialists must confirm material booking information.

We do not guarantee uninterrupted digital access but take reasonable steps to maintain secure, reliable services.

26. Privacy and intellectual property

We process personal data under our Privacy Policy and applicable law.

Unless stated otherwise, website text, branding, itinerary presentation, graphics and original materials belong to Inland Africa or are used with permission. Booking documents may be used personally but not commercially reproduced, sold or falsely attributed without written permission.

27. Governing law and disputes

The contract is governed by the laws of the Republic of Rwanda. The parties should first attempt good-faith written negotiation and may agree to mediation.

Nothing prevents urgent protective relief, referral to a competent regulator or proceedings before a court with jurisdiction. Subject to mandatory jurisdictional rules, the courts of Rwanda have jurisdiction.

28. Notices and electronic communications

Confirmations, invoices, amendments and contractual communications may be delivered electronically. A communication is considered received when it reaches the designated channel, subject to evidence and applicable law. You must keep contact details current and monitor communications before and during travel.

29. Entire agreement and order of priority

The contract consists, in descending priority, of any signed special agreement; booking confirmation and invoice; final itinerary; these Terms; and incorporated supplier conditions. A higher document prevails unless a later one expressly says otherwise. Informal statements change the contract only when confirmed by an authorized representative in writing.

30. Changes, severability and waiver

The version supplied or available when booking is confirmed governs that booking. We may update future-booking terms but will not retrospectively impose a material adverse change without agreement, a contractual or legal basis, or required choices.

If a provision is invalid or unenforceable, it will be limited to the minimum extent necessary and the remainder continues. Delay in exercising a right does not automatically waive it.

31. Language

These Terms are prepared in English. If translated, the booking confirmation should identify the governing version, subject to mandatory requirements and the traveler’s right to understandable contractual information.
